Using QR code check-in

Each ticket confirmation email includes a unique QR code. Event staff can scan these codes or search by name to check in attendees at the door. This guide covers setup, check-in workflows, and what to do when issues arise.

Before doors open: setup checklist

Complete these steps before your event starts:

  • Open your event in the Eventually dashboard on your phone

  • Navigate to the Check-in tab so the attendee list loads

  • Confirm you can see attendee names and ticket types

  • Test searching by typing a few letters of an attendee name

  • Keep the event page open — check-in works offline and will auto-sync when you reconnect

No app download or special hardware required. Your phone is the tool — just open the dashboard in your browser and you're ready to check people in.

Checking in attendees

Eventually supports phone-first check-in at the door:

  • QR scan — Point your phone camera at an attendee's QR code (on their phone or printed ticket).

  • Name or email search — Search for attendees by name or email and tap to check them in.

To check in by QR code

  1. Open the Check-in tab from your event dashboard.

  2. Point your phone camera at the attendee's QR code.

  3. The system validates the ticket and marks the attendee as checked in.

  4. A confirmation message appears on screen.

  1. In the Check-in tab, use the search field to find the attendee by name or email.

  2. When you see their name, press Enter to check them in.

If your search matches exactly one attendee, pressing Enter checks them in automatically and clears the search field for the next guest.

Offline check-in

Check-in works offline. If you lose connectivity at the door:

  • Continue scanning codes and searching for attendees.

  • All check-ins are saved locally on your device.

  • When you reconnect, your check-ins sync automatically to the dashboard.

The attendee list loads when you first open the Check-in tab. Make sure to load it while you still have a connection so it's available offline.

Troubleshooting common door issues

An attendee is already checked in

If you scan a QR code or search for an attendee and see that they're already marked as checked in, check a few things:

  • Ask the attendee — They may have already been checked in by another staff member or at a different entrance.

  • Check the attendee list — Look for duplicate registrations or similar names.

  • Verify manually — If you're certain this is an error and the person hasn't entered yet, you can note it and proceed. The status display will show "Already checked in."

QR code won't scan or scan fails

If a QR code isn't scanning properly:

  • Use name search instead — Search for the attendee by name or email and check them in manually. This is the fastest fallback.

  • Check screen brightness — If the code is on the attendee's phone, ask them to turn up their screen brightness.

  • Try a different angle — Glare or holding the phone at an odd angle can interfere with scanning.

Attendee may have cancelled or refunded

The check-in list excludes cancelled and refunded registrations. If someone claims to have registered but doesn't appear:

  • Check your orders or registrations list in the dashboard to see if their ticket was cancelled or refunded.

  • If you need to admit them anyway, you can manually add them as a guest using the Add Guest option.

After the event

Export your check-in records as a CSV file for attendance tracking and reporting:

  1. From your event dashboard, find the Guests or Attendees section.

  2. Click Export to download your check-in data.
